Summary

The Recruiting Coordinator provides essential support across the full recruitment lifecycle at Macmillan Publishers, combining operational excellence with candidate engagement. This dual-threat role acts as both an operational administrator and junior recruiter for entry-level positions while championing the internship program.

Key Responsibilities: Manage recruitment administrative tasks including job postings, interview scheduling, offer letters, and ATS maintenance while owning end-to-end recruiting for entry-level positions and overseeing the internship program. Identify process bottlenecks, optimize workflows, maintain data integrity across recruitment platforms, and partner with hiring managers to ensure a seamless hiring experience.
Skills & Tools: Strong proficiency in Microsoft Office Suite with ability to quickly learn new technologies and ATS systems; excellent verbal and written communication with high emotional intelligence; proven organizational ability to manage multiple priorities and self-motivated problem-solving mindset.
Qualifications: At least 18 months of experience in a recruiting, HR assistant, or relevant administrative role; experience with Google Workspace and/or ATS implementation is a plus but not required.

The Recruiting Coordinator is a key contributor to the Talent Acquisition team, providing essential support across the full recruitment life cycle. This is a dual-threat role combining operational excellence with high-touch candidate engagement, ensuring a positive experience from the first touchpoint to the first day of work. Beyond logistics, this role acts as a Junior Recruiter for entry-level positions and champion recruitment for the Internship Program, serving as an integral, trusted partner to the entire People & Culture (P&C) department.

What you’ll do:

  • Recruitment Administration: Manage all recruitment administrative tasks, including job postings, interview scheduling, offer letter generation, onboarding initiation, ATS maintenance, and recruitment metrics tracking and reporting
  • Full-Cycle "Junior" Recruiting: Own the end-to-end recruitment process for entry-level/early in career positions from intake to offer.
  • Internship Program Stewardship: Oversee core recruitment duties for year-round internship program
  • Systems & Data Integrity: Act as the super-user for our ATS (currently UKG) as well as project management tools (ie Asana) generally maintaining data integrity and compliance across various recruitment platforms and workflows
  • Employer Branding: Contribute to and support the maintenance of the internal "TA Bookmark" page and external Careers website, as well as the creation of content for social recruitment channels.
  • Process Optimization: Identify bottlenecks in the recruitment workflow and propose "SOP" (Standard Operating Procedure) updates to improve team efficiency.
  • Stakeholder Partnership: Partner with hiring managers, department leaders, and the P&C/HR team to ensure a positive, seamless hiring experience. Manage expectations and recruitment timelines through effective feedback loops.

What you’ll bring:

  • Experience: At least 18 months in a Recruiting or HR Assistant or relevant administrative role
  • Technical Skills: Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and the ability to learn new technologies and systems quickly. Experience with Google Workspace and/or participation in ATS implementation a plus but not required
  • Communication: Excellent verbal and written communication skills with a high level of emotional intelligence
  • Organization: Proven ability to handle multiple tasks and shifting priorities with minimal supervision.
  • Mindset: A curious, solutions-oriented self-starter who enjoys working both independently and as part of a team

This role will have an annual salary of $60k-$65k.
