Summary

Contracts Administrator who manages the full lifecycle of customer and vendor contracts, serving as a liaison between Corporate Legal and business teams. This role ensures compliance, maintains contract documentation systems, and supports the sales and finance operations.

Key Responsibilities: Manage contracts through their lifecycle, coordinate with Legal and business teams on vendor forms and customer contracts, maintain databases in Salesforce and DocuSign, and organize legal documents for the sales team. Assist with notarization, audit support, and complete contract-related requests via ticketing systems.
Skills & Tools: Excellent communication, interpersonal, and organizational skills with strong attention to detail and high integrity. Experience with vendor forms, contracts, RFPs, and knowledge of document management systems; Notary and eNotary certification highly recommended.
Qualifications: Bachelor's degree or equivalent experience required with 3-5 years of administrative experience in vendor forms, contracts, and/or RFPs. Demonstrated expertise in contract management and administrative operations.
Location: Remote in the United States of America
Compensation: Estimated: $48,000 – $62,000/year based on contracts administrator role, 3-5 years required experience, remote position in USA, and educational services industry.

Job Description

Location: Remote in the USA

Job Responsibilities:

  • Manage customer and other contracts throughout their lifecycle:
  • Act as liaison between Corporate Legal department and ELteams (Sales, IT, Marketing) for vendor forms, vendor access websites, COIs, and customer contracts.
  • Maintain standard operating procedures and responses for form submissions.
  • Ship, track, record, and retain proof of delivery for forms.
  • Maintain databases for contract submissions within SalesForce and DocuSign.
  • Organize completed legal documents for EL Sales team, as well as support legal document repository management.
  • Interface daily with Corporate legal and EL teams on contract reviews in process.
  • Ensure compliance with company policies and procedures, updating as needed.
  • Complete related tasks and requests submitted by the Sales team via ticketing system and email.
  • Assist Finance teams with notarizing completed documents and customer quote verification.

Additional Duties:

  • Update company documents annually, including W-9 (working with corporate tax team) and Sole Source documentation.
  • Assist corporate audit team with periodic audits by providing backup customer contracts.

Job Requirements:

  • 3-5 years of administrative experience with vendor forms, contracts, and/ or RFPs.
  • Bachelor’s degree or equivalent experience.
  • Excellent communication and interpersonal skills.
  • Excellent organizational skills and attention to detail.
  • High integrity.
  • Notary and eNotary certification highly recommended.
