Summary

Skills & Tools: Strong organizational, communication, and multitasking skills with proficiency in Microsoft Excel including formulas and filters. Critical thinking, problem-solving abilities, and experience with Salesforce.com (preferred) in a fast-paced, dynamic environment.
Qualifications: Bachelor's degree with 1 year of Order to Invoice experience, or 5 years of related experience without a degree. Preferred qualifications include Salesforce.com knowledge, reseller industry experience, and 2 years of industry-specific Order to Invoice operations.

The Order Management Senior Specialist ensures quality, accuracy, and financial compliance throughout the Order to Invoice lifecycle. This role requires a service-oriented individual with strong organizational and communication skills, attention to detail, and the ability to work both independently and collaboratively. The specialist is responsible for reviewing order requirements, executing purchase orders, maintaining accurate records, and providing timely updates to internal and external clients. Success in this role depends on efficient task execution and the ability to prioritize in a fast-paced environment.

What you’ll do

  • Manage transactions from order submission through Quality Assurance, purchase order placement, client communication, and PO receipt
  • Review and approve order transactions for financial and vendor compliance
  • Ensure timely and accurate processing of orders
  • Resolve order-related questions and issues independently
  • Place Sirius purchase orders with suppliers and maintain accurate records
  • Communicate order status proactively via email and order status platforms
  • Collaborate with Sales Support Advisors, Client Executives, and Solution Specialists on post-sales activities
  • Track and update purchase order status, changes, and progress
  • Maintain database integrity and process PO receipts per Sirius policies
  • Escalate issues to management as appropriate
  • Provide backup support to other Order Management Specialists, Quality Assurance Coordinators, and Receiving Specialists
  • Identify training needs and assist in onboarding and training new team members
  • Document policies, procedures, and standard practices for the department

What we expect of you

  • Bachelor’s Degree and 1 year of experience in Order to Invoice operations or related experience OR
  • 5 years of experience in Order to Invoice operations or related experience without a degree
  • Demonstrated organizational, time management, multitasking, and prioritization skills
  • Ability to adapt to change with resilience and composure in a dynamic environment
  • Strong written and verbal communication skills
  • High attention to detail and effective data entry skills
  • Proficiency in Microsoft Office, especially Excel (including formulas and filters)
  • Knowledge of business practices related to purchasing, pricing, and payment for goods and services
  • Critical thinking and problem-solving skills
  • Ability to solve straightforward problems with moderate guidance
  • Experience with Salesforce.com (preferred)
  • Reseller industry experience (preferred)
  • 2 years of industry experience in Order to Invoice operations (preferred)

Pay range: $26.00 - $40.00 hourly, depending on experience and skill set
