Summary

Summer Administrative Assistant supporting Waterford Upstart's summer events for families and staff while gaining real-world administrative experience. The role involves preparing event materials, managing logistics, and serving as a liaison between interns and the Events Coordinator.

Key Responsibilities: Prepare and organize event materials including name tags and itineraries, print and assemble packages, confirm event locations and staff schedules, monitor communications, and serve as main point of contact between Events Interns and Events Coordinator. Additional tasks include preparing shipments, supporting event days, and handling general administrative work.
Skills & Tools: Proficiency in Microsoft Word and Excel, strong organizational and detail-oriented capabilities, ability to prioritize tasks and handle last-minute requests, and excellent internal communication skills. Physical capabilities required include ability to lift up to 40 lbs and willingness to drive a 15-passenger work van.
Qualifications: High school diploma or GED required with 2+ years of customer service, events, or administrative experience preferred. Must be comfortable with computers, detail-driven processes, and capable of performing repetitive tasks for extended periods.
Location: Hybrid in Taylorsville, Utah, United States (Operations Office - Taylorsville, UT 84123); personal transportation required for daily commutes.

As a Summer Administrative Assistant, you’ll be the behind-the-scenes engine that keeps our summer events running smoothly for families, interns, and staff.

What You’ll Do

Prepare and organize materials for all summer events (name tags, admin sheets, itineraries, tracking documents) Print, assemble, and package event materials for traveling teams Confirm event locations, staff schedules, and travel plans Create and update itineraries for traveling teams Monitor and respond to the Event Help chat Serve as the main point of contact between Events Interns and the Events Coordinator Prepare and ship equipment to families Occasionally step in to support event days when needed Support cross-team projects and general administrative tasks Provide excellent internal customer service while championing diversity, equity, and inclusion 

What to Expect

Monday–Thursday schedule, varies from 35 - 40 hours/week Pay for this position is $18/hour This internship is from June 1 – August 27 Personal transportation required to travel daily to the Taylorsville office Detail-oriented work with repetitive tasks Some physical work (lifting, organizing, preparing shipments) 

Qualifications

High school diploma or GED 2+ years of customer service, events, or administrative experience preferred Comfortable with computers and following detailed, process-driven tasks Strong skills in Microsoft Word and Excel Organized, reliable, and detail-oriented Able to prioritize tasks and handle last-minute requests Able to lift up to 40 lbs, bend, stoop, reach, and stand for long periods Willing to drive a 15-passenger work van for deliveries and pickups Able to do repetitive tasks for extended periods Current college students may pursue internship credit with university approval
