Summary

Support the Chief Information Officer with daily administrative tasks, calendar management, and cross-functional coordination to enhance organizational efficiency. Act as a strategic operational partner enabling the CIO to focus on scaling teams and processes.

Key Responsibilities: Manage the CIO's calendar, meetings, and business travel; act as a delegate for expense and PO approvals; coordinate leadership meetings and large-scale quarterly planning; drive process optimization initiatives and cross-functional alignment projects.
Skills & Tools: Excellent written and verbal communication skills, strong organizational abilities, and expertise in prioritization and adaptability to fast-paced environments. Strategic thinking with attention to detail, confidentiality, and the ability to work with diverse internal and external stakeholders.
Qualifications: 6+ years of experience in administrative or support roles, with demonstrated experience managing teams of 30+ people. Preferred experience supporting technology functions and familiarity with Figma products.

As Executive Assistant to the Chief Information Officer, you’ll be responsible for keeping the team organized and helping them focus on scaling their teams and processes. In this role, you’ll be directly supporting the CIO to strategically run day-to-day administrative and operational needs. You’ll also be working closely with the Global Business Operations leadership team, and cross-functionally with the broader G&A Orgs and various team members across Figma. The role requires someone who is a great communicator, highly organized, and adaptable.

This is a full time role that can be held from one of our US hubs or remotely in the United States.

What you’ll do at Figma:

  • Run calendars, meetings, business travel arrangements and expenses
  • Act as a delegate for the CIO, signing off of expenses, PO approval, and various other tooling as needed with careful attention to internal policy
  • Be a strategic thought partner to the CIO and their leadership team with a focus on operations, process, and long term planning
  • Drive leadership meetings by coordinating the agenda, taking notes, and moving relevant action items forward
  • Lead large scale planning for monthly and quarterly meetings, coordinating content and slides
  • See opportunities for process optimization throughout team and company processes
  • Partner with internal teams to ensure cross functional alignment on projects, company achievements, and internal events
  • Organize in-person offsites, including working with external venues and internal team members
  • Ad hoc project management
