Summary

The Program Coordinator supports Sales, Account Management, and Operations teams for K12 Group Domestic programs by ensuring accuracy and completeness of workflow tasks while maintaining high-level customer service. This seasonal role is critical for balancing business rules and helping the sales team win and retain business.

Key Responsibilities: Proofs operational requests, reviews pricing, drafts and reviews itineraries, handles itinerary changes and tour customizations, and responds to pricing and destination inquiries for the sales and account management teams. Assists in coordinating tour details, ensures departmental deadlines are met, and contributes to oversight of tour writing resources.
Skills & Tools: Strong attention to detail, organizational and time management abilities, and proficiency with internal systems and tools. Excellent communication skills, ability to work collaboratively across multiple teams, and customer service orientation are essential.
Qualifications: High school diploma or equivalent required; some college coursework or relevant experience in a coordinator or administrative role is preferred. Knowledge of travel, education, or customer-facing operations is beneficial.

Job Description:

The Program Coordinator provides support to Sales, Account Management, and Operations teams for the K12 Group Domestic lines of business by ensuring completeness and accuracy on all tasks. Goals center around accurate and detailed workflow in timely manner while providing high level of positive customer service to our internal stakeholders.

The Program Coordinator is responsible for understanding our products along with sales and operational guidelines to ensure a balance in business rules and supporting sales with accurate and timely completion to win and retain business.

Responsibilities:

  • Supports Sales and Account Management teams with proofing operational requests, reviewing pricing, drafting and reviewing itineraries, handling itinerary changes, tour customizations, general destination/product information, answers to pricing and itinerary specifics, and special requests by using knowledge of program destinations, systems and/or communicating with AM/Sales and Product Delivery teams.
  • Contributes to oversight and review of tour writing resources
  • Assists in the coordination of tour details and ensures all deadlines between departments are met.
  • Supports sales and account management by answering questions, providing recommendations and completing tasks within the tour life cycle.
  • Acts as liaison between Production and Sales/Account Management teams, ensuring that internal business rules and product standards are upheld. Uses knowledge of programs, products and systems to assist in improvements to operational efficiency, pricing accuracy and tour itineraries.
  • Contributes to updates, development and implementation of internal processes, rules and procedures based on the needs of the business. This includes recognizing system or process gaps if applicable and reports in a timely manner.
  • Provides support on other projects and tasks as requested by management. May be assigned responsibilities related to group management, pricing, or program operations/management.
  • Prepares status updates, reports and/or resources as requested by management.
  • Maintain knowledge of company policies and procedures so as to serve as an effective staff member.
  • Support company policies and management decisions with a sense of urgency and professionalism.
  • Foster communication within the department, with other departments, and with management.
  • Seek out and participate in internal and external programs that facilitate personal and professional growth.
  • Identify and discuss personal and professional growth goals with Team Leader or other management.
  • Write performance appraisals on an annual basis to be reviewed with Team Leader.
  • Attend and contribute to team meetings (Program Management/Product Delivery/Sales/etc.).
  • Develop and maintain a culture of teamwork, positive communication, and fulfilling the WorldStrides mission.

Qualifications:

  • Ability to communicate clearly and effectively and with a positive and professional demeanor with internal staff and management. This includes in person, phone calls, video calls, email and online chat.
  • Close attention to detail and extremely organized.
  • Handles pressure well and can multi-task.
  • Sense and implementation of urgency
  • Demonstrates initiative and pro-active approach when needing to source solutions
  • Ability to problem-solve and make business decisions confidently.
  • Capable of adhering to strict deadlines, and able to communicate urgency and inspire others to stay on track with any given deadline, project, or common goal.
  • Concern for how decisions impact customer experience and the bottom line.
  • Collaborative nature working with team members across different offices with different responsibilities.
  • General understanding of the student travel industry, with focus on group travel and/or the WorldStrides business model.
  • Knowledge of Domestic US and some international destinations. Personal travel/onsite experience preferred.

Travel Requirements:

  • Some travel to other WorldStrides offices may be required; no more than once per year.
  • Seasonality relates to peak volumes of itinerary work and is subject to change. Example of hours can rage from 2-40 hours per week as season demands. Approximately 500-900 hours per year but may vary.
