Summary

The Creative Project Specialist manages workflow, resources, and timelines for design projects within a remote creative marketing team at KnowBe4, serving as the operational hub between creative staff and internal stakeholders. This role ensures quality delivery, efficient resource allocation, and seamless communication across all design initiatives.

Key Responsibilities: Evaluate and prioritize incoming design requests, allocate projects to designers based on skill sets and workload, manage project timelines and milestones, and coordinate with stakeholders. Additionally, serve as the primary point of contact between the creative team and clients, maintain documentation and process improvements, manage vendor relationships, and optimize workflow efficiency.
Skills & Tools: Proficiency in Google Workspace, MS Office, and project management software (particularly Monday.com), with knowledge of Adobe Creative Suite and graphic design principles. Strong organizational, communication, and stakeholder management skills are essential, along with the ability to identify and solve workflow bottlenecks.
Qualifications: Bachelor's degree or equivalent working experience with at least 3 years in a similar project management or creative operations role. Experience with graphic design principles and demonstrated understanding of project management methodologies required.

The Creative Project Specialist serves as the essential operational hub for our creative marketing team, expertly managing workflow, resources, and timelines for design projects. This role requires a unique blend of graphic design knowledge, marketing acumen, and exceptional organizational skills. The ideal candidate will efficiently allocate design resources, manage high-volume project requests, and ensure seamless communication between stakeholders while maintaining quality and meeting deadlines. This position is critical for maintaining workflow efficiency, quality control, and successful project delivery in our fast-paced marketing environment. 

Responsibilities:

Project Routing & Resource Allocation

  • Receive, evaluate, and prioritize incoming design requests based on business impact, deadlines, and resource availability
  • Allocate projects to appropriate designers based on skill sets, workload, and project timelines
  • Identify project requirements and ensure all necessary information is collected before assigning to creative team
  • Professionally negotiate and communicate realistic timelines with stakeholders when needed
  • Monitor project status and workflow to prevent bottlenecks and ensure on-time delivery

Project Management

  • Coordinate and manage individual projects on behalf of the Creative Director
  • Schedule and facilitate project kick-off calls and status meetings when required
  • Create and maintain detailed project timelines, milestones, and deliverables
  • Follow up with designers and stakeholders to ensure deadlines are met
  • Liaise with Marketing team leads to align creative projects with campaign needs and objectives
  • Identify potential risks to project completion and proactively develop solutions

Communication & Documentation

  • Serve as the primary point of contact between the creative team and internal clients
  • Maintain clear communication channels regarding project status, timeline adjustments, and deliverable expectations
  • Develop and update process documentation to improve workflow efficiency
  • Prepare regular status reports on team productivity, project completion rates, and resource utilization
  • Document project requirements and creative briefs to ensure clarity and alignment

Vendor Management

  • Coordinate with external freelancers and vendors as needed
  • Efficiently collect and organize files and creative briefs for outside resources
  • Maintain vendor relationships and ensure adherence to brand standards and quality expectations
  • Track and manage vendor deadlines and deliverables

Workflow Optimization

  • Identify opportunities to streamline creative processes and improve efficiency
  • Implement and maintain digital asset management systems
  • Develop templates and standardized procedures to expedite routine requests
  • Contribute to continuous improvement of trafficking systems and project management methodologies

Technical & Administrative Support

  • Proficiently use Google Workspace tools for document management, scheduling, and collaboration
  • Understanding of project management software. Ability to learn or have existing knowledge of Monday.com
  • Maintain organized digital filing systems for creative assets and project documentation
  • Coordinate calendar management for the creative team when needed for project meetings
  • Support the Creative Director with administrative tasks related to team management and project execution

Quality Assurance

  • Work in conjunction with the Creative Director to ensure all creative deliverables meet brand standards and project requirements
  • Track project changes and maintain version control for design assets on an as-needed basis
  • Facilitate feedback collection and implementation to improve final deliverables

Minimum Qualifications:

  • BA/BS or equivalent working experience
  • Minimum of 3 years’ experience
  • Experience with Gmail and Google Workspace (Slides, Docs, Sheets)
  • Experience with MS Office (PowerPoint, Word, and Excel)
  • Experience with web browsers
  • Proficiently use Google Workspace tools for document management, scheduling, and collaboration
  • Understanding of project management software. Ability to learn or have existing knowledge of Monday.com or other similar software
  • Understanding of Adobe Creative Suite
  • Experience with graphic design principles
  • Strong verbal and written communications
  • Excellent time management and organization skills

The base pay for this position ranges from $55,000-$60,000, which will vary depending on how well an applicant's skills and experience align with the job description listed above.
