Job Overview:

We are seeking a highly organized, detail-oriented Benefits Specialist Contractor to cover a 6‑month parental leave term. In this role, you will manage critical benefits and payroll reporting, conduct routine audits, and oversee various leave and ad hoc benefits tasks. The ideal candidate will have a strong background in benefits administration, be proficient with HR/payroll systems, and excel at meeting tight deadlines while handling sensitive information.

Key Responsibilities:

General Duties

  • Oversee the administration and manage full end-to-end lifecycle employee benefits programs for ~300 U.S. employees, including health, dental, vision, 401k, life insurance, and wellness initiatives
  • Administer and maintain employee benefits records in ADP; Process new hire and qualifying event transactions, own benefit vendor file feeds/integrations, audit and regularly troubleshoot errors and consistently work to improve experience for employees
  • Manage full end-to-end ownership of leave of absences, accommodations, life, and disability policies in partnership with benefits broker and leave administrator (The Standard)
  • Partner with benefits consultants to manage all federal, state, and local compliance, filings, reports, and audits related to the administration of employee benefit programs
  • Administer and manage the Company’s 401k program (Fidelity)
  • Assist in international benefits and leave administration via the Company’s Employer of Record vendor.
  • Manage COBRA benefits administration and third-party vendor relationships
  • Manage coordination with Payroll for benefit and leave transactions affecting employee wages and taxes
  • Act as the secondary payroll auditor by reviewing the bi-monthly payroll register and payroll tracker to ensure accurate pay before the payroll manager approves payroll

A more detailed view of this role’s responsibilities:

Payroll & Benefits Administration

  • Prepare and manage monthly benefit reporting (e.g. state paid family leaves, headcount and payroll details) for select benefit vendors
  • Notify relevant departments about employees on leave and update benefits expense reports, including bill totals for medical, dental, and vision
  • Conduct 401K deferral audits to ensure accuracy of ADP payroll, with Fidelity; adjust deferrals in ADP as required
  • Act as the liaison between management and the benefits broker to support the annual benefits renewal ahead of open enrollment
  • Develop and implement monthly benefit audit processes to ensure accurate billing & payment of all benefits

Daily Operations

  • Manage the People Team inbox and distribute requests accordingly across the team
  • Provide communication, education, direction, and assistance to employees

Leave Coordination

  • Manage the administration of the Company’s Leave of Absence program 
  • Manage parental leave process end-to-end including pre-leave coordination, document management, coordination with managers or return to work, and calculation of pay while on leave ensuring proper offsets for any state-paid leaves or other benefits
  • Manage company leave tracker to ensure accuracy of leave start and end dates
  • Coordinate the distribution of gifts for new parents

Ad Hoc Responsibilities

  • Support and coordinate the review of ADA accommodations
  • Manage life event enrollments, employment verifications, and other benefits-related tasks as needed

Qualifications:

  • Proven experience in benefits administration and payroll reporting
  • Familiarity with ADP and Fidelity is a must
  • Strong attention to detail, excellent communication, and the ability to manage multiple deadlines
  • Experience in coordinating parental leave and working with state-specific benefits reporting
