At Verto Education, our on-site teams are at the heart of everything we do. As a Program Operations Coordinator, you’ll play a key role in bringing our study centers to life, ensuring everything runs smoothly behind the scenes so students can have an exceptional, life-changing experience.
The on-site staff serve as champions across the organization to ensure each and every practice creates a significant impact on the student experience as well as organizational goals aligned with the Mission and Vision of Verto Education.
This is a hands-on, fast-paced role where no two days look the same. You’ll sit at the intersection of operations, finance, logistics, and student experience, working closely with the Program Director and wider team to keep everything moving. In addition to financial and operational tasks, this role is also in charge of planning, managing and delivering educational excursion logistics. In collaboration with the Academic Director, and Academic Coordinators, the Administrator oversees the logistics and administration of courses and experiential learning activities.

🚀 What You’ll Be Doing
Operations & Coordination
- Assist the Program Director by supporting center logistics (repairs, managing inventories, providing utilities and maintenance reports)
- Assist with obtaining, compiling, and organizing student enrollment documentation
- During arrivals and orientation, support the Program Director in logistics of orientation week (staffing and scheduling) with full availability
- Coordinate contracts, capacity planning, and operational documentation
Finance & Administration
- Assist with basic accounting, bookkeeping, and financial transactions (providing cash-flow reports, interacting with accountants, reimbursements, accounts payable)
- Coordination of contracts, capacity and space analysis, along with financial filings
- Prepare reports, spreadsheets, briefing notes, and correspondence materials
- Create budgets and provide forecasts compared to actual financial results
Student Experience & Excursions
- Create and manage calendar of excursions in collaboration with Student Life Manager and Program Director
- Book excursions and experiential learning activities, manage the logistics, create itineraries, and communicate them to staff in a timely manner
- Coordinate logistics end-to-end (booking, communication, execution)
- Support orientation week logistics and student arrivals
- Attend excursions when needed
Cross-Team Support
- Provide support to the Program Director, Student Life Manager, and Academic Director with planning and operations activities
- Support onboarding and training of staff
- Manage confidential documents and records
- Proactively work to safeguard the health and wellbeing of students and staff members by complying with all health and safety protocols.
- Step in on front desk duties when needed
- Other job-related duties, responsibilities, and activities may change or be assigned at any time with or without notice. Flexibility is important!
🧠 What We’re Looking For
Must-have:
- Fluency in English
- Ability to work on-site in an office environment
- 2–3 years’ of experience working in education abroad, which should include direct experience with administration in education abroad
- Excellent verbal and written communication skills; the ability to provide verbal and written information, and provide instructions
- Excellent problem-solving skills; ability to investigate and analyze information and draw conclusions
- Comfortable managing multiple priorities in a dynamic environment
- Experience managing projects
- Confident with Google Workspace / Microsoft Office (Excel, reporting, docs)
- Strong communication skills (written and verbal)
- Ability to work independently and adapt quickly
Nice-to-have:
- Experience with budgeting, bookkeeping, or financial coordination
- Background in higher education or international programs
- Understanding of HR processes and compliance
- Degree in Business, Accounting, or related field
