Compensation: Not provided by employer. Typical compensation ranges for this position are between $45,000 - $60,000.
The Student Data & Compliance Coordinator plays a critical role in supporting the operational excellence of American Virtual Academy (AVA), one of StrongMind's managed school partners. This StrongMind team member will be dedicated to AVA operations, overseeing and maintaining accurate student data within Learning Management Systems (LMS) and Student Information Systems (SIS), while ensuring compliance with state-specific regulations for private virtual schools. The role is integral to supporting the administrative functions of a dynamic private virtual school serving students nationwide and reports directly to StrongMind's Executive Director of Operations.
Primary Duties and Responsibilities:
Student Records Management:
- Accurately enter, update, and maintain student enrollment, academic records, and transcripts in SIS and LMS platforms
- Monitor and manage student course placements, grades, credits, and progress toward graduation for AVA students
- Process records requests, enrollment verifications, and transcript issuance in a timely and compliant manner Coordinate with StrongMind's registrar services to ensure seamless data management Administrative Support:
- Provide direct administrative support to AVA school leadership and instructional teams
- Assist with compiling data reports for school performance, audits, and compliance reviews
- Maintain organized digital filing systems for all student documentation in accordance with FERPA and school policies
- Support AVA's administrative operations while maintaining StrongMind operational standards
Compliance and State Reporting:
- Track and ensure compliance with state-specific requirements for private schools, including attendance, academic progress, and graduation metrics
- Collaborate with AVA leadership and StrongMind stakeholders to monitor reporting deadlines and submit required documentation to applicable agencies
- Coordinate compliance activities between AVA's educational requirements and StrongMind's operational frameworks
- Maintain current knowledge of regulatory changes affecting private virtual schools
LMS & SIS Operations:
- Support the implementation and ongoing operation of LMS and SIS platforms for AVA (including StrongMind Central and other community platforms)
- Troubleshoot data errors and coordinate resolutions with StrongMind's technical support team
- Participate in the implementation of process improvements and updates to LMS/SIS systems Serve as primary liaison between AVA's operational needs and StrongMind's technology platforms
Cross-Functional Coordination:
- Act as dedicated StrongMind representative for AVA's operational needs
- Coordinate between AVA leadership and StrongMind departments (IT, Academic Operations, Customer Success)
- Participate in regular reporting and communication with Executive Director of Operations
- Support special projects and initiatives specific to AVA's growth and operational excellence

Education/Training
- Experience in data administration, education, or related field preferred
- Experience in compliance, customer support, or similar role, preferably in an educational setting
- Knowledge of FERPA, state reporting requirements, and educational data management preferred
- Familiarity with Learning Management Systems and Student Information Systems preferred
