Summary

Senior Event Coordinator at OCLC responsible for promoting OCLC services by organizing and managing 30+ domestic and international conferences, exhibitions, and events. The role involves coordinating complex multi-event logistics while managing vendor relationships, budgets, and cross-functional teams to exceed client expectations.

Key Responsibilities: Organize and coordinate conferences, exhibitions, and road shows; manage booth setup/dismantling, vendor communication, and equipment logistics; coordinate ALA conference activities including meetings and special events; track budgets and negotiate vendor costs; maintain inventory of promotional and gift items.
Skills & Tools: Excellent verbal and written communication, proofreading, and Microsoft Office proficiency; strong project management and ability to handle multiple concurrent projects with tight deadlines; independent work capability and successful cross-team collaboration; trade show communication expertise.
Qualifications: Minimum 2-3 years of conference and event planning experience; Bachelor's degree in Communications, Marketing, or Business preferred; trade show or meeting certification (such as CTSM) preferred; knowledge of OCLC services beneficial.
Location: Dublin, Ohio, United States
Compensation: Not provided by employer. Typical compensation for this role is $55,000 – $75,000/year based on title, seniority, and location.

The Job Details are as follows:


To promote the value and benefits of OCLC services to membership and potential members, by coordinating activities at conferences and events. Primary activities include exhibits, special events, meetings, updates and presentations. Oversee multiple conferences at a time, face numerous deadlines and orchestrate the activities of several different groups of people. Focus on meeting or exceeding internal and external client expectations for their planned events.

Major responsibilities:

  • Under direction of Conference & Events Manager, organize and coordinate conferences, meetings, road shows, exhibitions at 30+ domestic and international exhibits. Position will supervise the setup of events and meetings communicate with relevant internal departments and outside vendors to insure proper delivery of services. Task include scheduling booth space, setting up and dismantling exhibit equipment at conferences 10’x20’ or larger if required, revising/proofing copy for conference-related ads and email invitations, securing accommodations and meeting space, shipping equipment and collateral. 
  • Coordinate activities at the ALA conferences, including planning and organizing meetings, special events, assist with the briefing presentation, feedback forms, etc.
  • Oversee multiple conferences at a time, face numerous deadlines, and orchestrate the activities of several different groups of people.
  • Track budget costs and stay within the budget allocated for assigned shows. Negotiate costs with external vendors.
  • Maintain an inventory of advertising specialty items, from small giveaways distributed at conference to VIP gifts for speakers.

Minimum qualifications:

  • At least two or three years experience or equivalent in conference and event planning at conferences and events.
  • Excellent verbal and written communication, proofreading, Microsoft office, emphasis on trade show communication,
  • Discretion, judgment, initiative, must work independently
  • Handle multiple projects and short timeframes, meet deadlines, work successfully with others

Desired qualifications:

  • Trade show or Meeting Certification preferred, such as CTSM coordinated by EXHIBITOR.
  • Academic degree or equivalent BS or BA Communications, Marketing
  • Business knowledge of OCLC and OCLC services is beneficial.

Working Conditions: Normal office environment.
