Summary

Sr Administrative Assistant role supporting the CIO and CCO at Ascend Learning, a purpose-driven education company. This hybrid position ensures seamless executive operations and cross-departmental coordination.

Key Responsibilities: Manage complex executive calendars, schedule meetings, prepare reports and presentations, coordinate travel arrangements, and facilitate communication between IT, Sales, and Marketing teams. Handle confidential information, organize meeting logistics, manage expense reports, and support leadership team ad hoc requests.
Skills & Tools: Proven experience supporting senior executives with exceptional organizational and time-management abilities. Proficiency in Microsoft Office Suite, strong communication and interpersonal skills, and ability to multitask in a fast-paced environment.
Qualifications: Proven experience supporting senior executives, preferably in IT, Sales, or Marketing environments. Resourceful with keen attention to detail and ability to adapt in dynamic settings.
Location: Hybrid in Gilbert, Arizona, United States (office Tuesday, Wednesday, Thursday)
Compensation: $55,000 – $75,000/year

WHAT YOU'LL DO 

We are seeking a highly organized and proactive Executive Administrative Assistant to support the leadership team at NASM. This person will primarily support the Chief Information Officer (CIO) and Chief Commercial Officer (CCO), reporting directly to the Chief Commercial Officer. This role will serve as a vital partner, ensuring seamless day-to-day operations and effective coordination across teams. This person will provide admin support to other members of the leadership team, as needed, for travel, meetings or expenses (ad hoc requests).  

WHERE YOU’LL WORK

             This position will work hybrid out of our Gilbert, AZ office.

HOW YOU’LL SPEND YOUR TIME

  • Manage complex calendars, including scheduling meetings, coordinating appointments, and prioritizing tasks. 
  • Prepare and edit reports, presentations, and correspondence for executive review. 
  • Organize and coordinate meetings, including agendas, minutes, and follow-ups. 
  • Handle confidential information with discretion and professionalism. 
  • Facilitate cross-departmental communication and ensure alignment between IT, Sales, and Marketing teams. 
  • Plan and manage travel arrangements, expense reports, and departmental budgets. 
  • Act as a liaison with internal and external stakeholders to maintain strong relationships. 
  • Perform other administrative duties to enhance productivity and efficiency. 

WHAT YOU'LL NEED

  • Proven experience supporting senior executives, preferably in IT, Sales, or Marketing. 
  • Exceptional organizational and time-management skills. 
  • Strong communication and interpersonal abilities. 
  • Proficient in Microsoft Office Suite and other business tools. 
  • Ability to multitask and adapt in a fast-paced environment. 
  • Resourceful with a keen attention to detail and a passion for supporting dynamic leadership teams. 
  • Work in Gilbert, AZ office Tuesdays, Wednesdays, and Thursdays 
  • Reports to Chief Commercial Officer, Kristin Carrico
