Summary

The Academic Associate ensures academic integrity and addresses learner complaints within university standards while collaborating with stakeholders on policy improvement initiatives. This role supports the Office of Academic and Community Standards in maintaining academic equity and quality across the institution.

Key Responsibilities: Manages and resolves academic cases including policy violations, appeals, and complaints within Service Level Agreements; facilitates independent review panels and drafts decision letters. Provides policy training to student-facing groups, supports residencies up to three times yearly, and leads policy improvement projects using data-driven analysis.
Skills & Tools: Required skills include strong critical thinking, conflict resolution, project facilitation, excellent organization, and data-driven decision-making. Preferred proficiency in Salesforce, PeopleSoft, CRM tools, Microsoft 365, and Zoom with ability to maintain confidentiality under FERPA regulations.
Qualifications: Bachelor's degree from an accredited institution is required with minimum 3 years of experience in academic administration, advising, or transferable experience. Familiarity with various software applications is preferred.
Location: Hybrid in Minneapolis, Minnesota, United States (one day per week on-site; up to three weeks per year travel required)

The Academic Associate, in line with the mission of the Office of Academic and Community Standards, ensures academic equity, integrity, and quality. They collaborate with university stakeholders in handling learner complaints and policy violations, from intake to resolution. This includes policies related to academic integrity, grade appeals, learner conduct, professional ethics, academic standing, learner grievances, and discrimination/harassment issues, among others. They also participate in improvement projects and may represent OACS in University Stakeholder meetings.

Essential Duties & Responsibilities

Daily Workflow:

  • Manage and resolve school-specific cases within Service Level Agreements, including academic policy violations, appeals, and complaints.
  • Manage crisis protocols.
  • Provide research, consultation, and advice on unique learner experience issues.
  • Facilitate independent review panels in making decisions and recommendations related to case work
  • Draft and finalize decision letters for determinations reached by associate or independent review panels

Cross-Functional Work:

  • Travel: Support students and faculty at residenciesinproviding policy and experiential support, up to three times per year.
  • Provide policy and procedure training for all student-facing groups.
  • Undertake other duties and projects as required.

Quality Assurance Work:

  • Lead policy and process improvement projects, employing root cause analysis and problem-solving techniques.
  • Proactively support strategic innovation.
  • Maintain adherence to Service Level Agreements.
  • Identify and resolve problems to improve value and mitigate institutional risk.
  • Use data for informed decision-making.

Required Qualifications:

  • Strong critical thinking, influencing, reasoning, and judgment skills.
  • Capable of facilitating projects, training, and conflict resolution.
  • Excellent organization, prioritization, self-motivation, and communication skills.
  • Willingness to travel for event support. Travel will require one week at a time, no more than three times per year.
  • Data-driven decision-making ability.
  • Ability to maintain confidentiality and abide by regulations such as FERPA in managing student complaints.

Preferred Qualifications:

  • Proficiency in Sales Force, PeopleSoft, CRM, Microsoft 365 (Office, OneDrive, SharePoint, Teams), and Zoom.
  • Proficient in using a computer and communicating effectively both verbally and in writing.
  • Able to handle stress and demonstrate strong mental acuity.
  • Regular and punctual attendance is essential.
  • Other functions may be modified as required.

Work Experience:

Minimum of 3 years’ experience in academic administration, advising or transferable experience.

Education: 

  • Bachelor’s degree from an accredited institution whose accrediting agency recognized by the U.S. Department of Education.

Other:

  • Ability to work a hybrid schedule including both working from home and on-site one day per week.  The selected applicant for this position will be required to work onsite and attend onsite or offsite meetings and events.Fully remote position may be considered for those living outside the Twin Cities area.  
  • When on site, typical office setting.  
  • Mobility within the office including movement from floor to floor.  
  • Access information using a computer.  
  • Must be able to work more than 40 hours per week as needed to meet business needs.
  • Must be able to travel 0-10% of time.  
  • Travel via plane, car, and metro may be required to perform this job.
