The Administrative Assistant is responsible for providing administrative support to the Vice President, Acelero Learning Delaware and the entire Acelero Learning Delaware Program. This position will initiate and coordinate the clerical and secretarial functions required in effective implementation of administrative policies of the program. The Administrative Assistant will ultimately be evaluated on a combination of skills, dispositions, and behaviors, some of which are related to the specific service area of this position and others that represent general expectations of all Acelero Learning employees.

What You’ll Do:

Executive Support

  • Provide high-level administrative support to the Vice President, including managing calendars, scheduling meetings, and preparing meeting materials.
  • Draft, proofread, and distribute correspondence, reports, and presentations on behalf of the Vice President.
  • Coordinate travel arrangements, reimbursements, and expense reports.

Communication & Coordination

  • Serve as a primary point of contact between the Vice President, internal staff, families, and external stakeholders.
  • Ensure timely communication and follow-up on action items and deadlines.
  • Support the preparation and coordination of delegate-wide meetings, trainings, and special events.

Center-Level Administrative Support

  • Assist center directors and staff with administrative needs, including data entry, document preparation, and file management.
  • Maintain accurate records, rosters, and compliance documents for centers within the delegate.
  • Support scheduling for center-based meetings, staff coverage, and operational activities.

Information Management

  • Organize and maintain confidential records and files in accordance with company policies.
  • Track, compile, and submit reports and documentation required by the delegate and central office.
  • Monitor supplies, process purchase requests, and coordinate with vendors as needed.

Project & Process Support

  • Assist with special projects led by the Vice President, ensuring tasks are completed on time and with accuracy.
  • Provide administrative support for program audits, monitoring visits, and regulatory reviews.
  • Identify opportunities to streamline processes and improve administrative efficiency.

What You’ll Bring:

1. High school diploma required; AA/AS in business or related field preferred.

2. Prior experience with office / general administration.

3. Physical exam and background checks are required for this position.

4. Travel required locally or long-distance up to 10% of the time for work-related meetings and functions.
